Key Duties and Responsibilities
- Supervising resident students and promoting their safety, welfare, discipline and general well-being.
- Ensuring compliance with hostel rules, residence schedules, and institutional policies.
- Monitoring students’ health and responding appropriately to illnesses, injuries and other emergencies, including administering basic first aid and arranging medical attention where necessary.
- Conducting regular inspections of student rooms, washrooms, common areas and other residence facilities to ensure cleanliness, orderliness and proper hygiene.
- Maintaining accurate records of room allocations, student residence attendance, incidents, illnesses, disciplinary matters, visitors and property issued to students.
- Receiving and orientating new resident students on hostel rules, safety procedures and acceptable standards of conduct.
- Providing appropriate guidance, emotional support and basic counselling to students while maintaining professional boundaries and confidentiality.
- Identifying and reporting student welfare, safeguarding, behavioural or health concerns to the relevant institutional authority.
- Managing interpersonal conflicts among resident students and escalating serious matters in accordance with institutional procedures.
- Coordinating with the Administration, Security, Academic, Housekeeping and Student Affairs teams on matters affecting resident students.
- Ensuring that hostel furniture, bedding, equipment and other institutional property are properly used, accounted for and reported when damaged or lost.
- Maintaining effective communication with management and, where authorised, parents or guardians regarding significant student welfare concerns.
- Supporting emergency preparedness activities, including fire drills, evacuation procedures and student safety awareness.
- Preparing periodic residence reports and submitting them to management within the required timelines.
- Supervise and coordinate all support staff by allocating duties, preparing work schedules, ensuring cleanliness, hygiene, safety and service standards are maintained, providing guidance and reporting any staffing, disciplinary, maintenance or operational concerns to management.
- Performing any other related responsibilities assigned by Supervisor.
Minimum Qualifications and Experience
- A Certificate or Diploma in Hospitality Management, Catering and Accommodation, Caregiving, Community Health, Nursing Assistance, Social Work, or another relevant field.
- At least two years of relevant experience supervising students, residents or clients within a boarding school, college hostel, hospital, residential care facility, hotel, children’s facility or similar institution.
- Practical knowledge of student welfare, residence management, hygiene, safeguarding, discipline and emergency response.
- A valid First Aid Certificate or demonstrable training in basic first aid is an added advantage.
- Basic computer proficiency, including the ability to use Microsoft Word, Excel, email and electronic record-management systems.
- Excellent verbal and written communication skills in English and Kiswahili.
- A valid Certificate of Good Conduct or willingness to obtain one before appointment.
- Firm and consistent when enforcing residence rules and discipline.
- Organised and capable of maintaining accurate and confidential records.
- A person of integrity with strong professional and ethical standards.
- Able to handle confidential and sensitive student information appropriately
- Capable of resolving conflicts fairly and professionally
- Able to work independently and collaborate effectively with other departments.
